We’re Hiring: Administrative and Marketing Assistant

Thanks to the wonderful word-of-mouth publicity and referrals that we’ve been receiving (and please keep them coming!), Ethical Homes is looking to bring on our first official hire to allow us to better serve all of the people who want us to help them buy, sell, or refinance a home.

The position we’re looking to fill is for an Administrative and Marketing Assistant; right now, that will be more of a junior-level position, but we’re looking to hire someone with the desire to grow into the position and eventually lead the entire admin and marketing team. This position will initially be part-time, becoming full-time after a few months, but for the right candidate we could be convinced to start it as a full-time position, or leave it as a part-time position for an extended period.

Since skills can always be taught, our first priority is in finding someone who has the right attitude and personality for this key position. Specifically:

  • They should be detail- and fact-oriented, and very stable, methodical, and objective.
  • They should be be self-sufficient, and a proactive problem-solver, eager to take on new challenges and improve systems.
  • They should be motivated and persistent about following up with people, and making sure that nothing falls through the cracks.
  • Perhaps most importantly, they need to have a real sense of caring and a desire to help others.

As for specifics of what the job entails, the Admin & Marketing Assistant will initially be working on a variety of different projects, including some or all of:

  • following up with clients during and after transactions
  • managing direct mail marketing campaigns
  • coordinating with vendors and service providers
  • helping to develop educational materials for consumers
  • scanning/filing documents

As our organization grows, this position’s responsibilities will grow as well, eventually heading up our Administrative and Marketing team, which will be responsible for:

  • Developing and implementing systems for lead generation, contact database management, back office support, and working with buyers and sellers, and ensure that all systems run efficiently.
  • Using, maintaining, and revising our Operations Manual to ensure that all of our systems and standards are well-documented and followed.
  • Serving as the first point of contact in handling inquiries and complaints from customers, clients, and other real estate professionals.
  • Developing and maintaining all team filing systems (listings, contracts, legal documents, correspondences, etc.) and computer databases, including making sure that all reference materials and forms are available and current.
  • Maintaining all financial systems, including maintaining books, paying bills, handling payroll, ensuring collection of commissions, maintaining our budget, and generating financial reports.
  • Coordinating the purchase, installation, and maintenance of all office equipment.
  • Keeping the team leader informed regarding any problems or issues that need to be handled.
  • Taking responsibility for hiring, training, consulting with, and holding accountable all future administrative and lead generation team members.

Again, while experience in some or all of these areas would be nice, we’d rather have a whip-smart and highly motivated person with little experience than a seasoned veteran who has no desire to grow as the company does, and extensive training and coaching will be provided to the selected candidate on a regular basis, including the necessary pre-licensure training for a candidate who does not already have both Virginia and Washington, D.C. real estate licenses.
